Mayor Randels presented that council has had the oral history DVD for approximately one month and he solicited comments from council: • Mayor Randels - Impressed and very proud of the product • Mayor Pro Tem Hoog - Has watched twice; gets better each time; well put together • Council Member Petsos - Really came together; job well done; wants to make sure that each person who is interviewed is named at least twice; make sure spellings of names are correct • Council Member Roberts — Excellent effort Mr. Stanley requested feedback from council on the following: What is the final destination of this project: (1) DVD's for distribution and sale? (2) Broadcasting on Television? (3) Web delivery? Mr. Stanley presented the formatting issues involved in order to broadcast the DVD on TV. He presented the DVD could be designed for the City's home page; however, this cost was not included in the initial contract and at the request of Ms. Roberts, he had provided a proposal to council. • Mr. Hoog would like the completed DVD made available to the public. • Ms. Roberts suggested selling the DVD's for a small fee in order to get a return on the investment back to the citizens and suggested the city manager develop a business proposal in that regard. Ms. Roberts suggested providing complimentary copies to the interviewees. • Mr. Petsos' intent was that the City would receive the master DVD so that copies could be made by staff. Council agreed: (1) Mr. Stanley would provide the City with one master DVD. If City desired (20) copies, Mr. Stanley will provide to the City. If City desired several hundred copies, Mr. Stanley will provide the City with name of individual who can "burn" DVD's at a discounted rate. (2) City will consider placement of oral history project on the City's website at a later time. Review inclusion of additional topics: Due to the unbudgeted cost, Ms. Roberts recommended not to include additional material at this time. Mr. Boucher pointed out that the City will have a master of all the interviews related to the additional topics and this issue could be revisited in the future. Mr. Petsos felt the 1-1/2 hour DVD was more than enough for now; the "past" has been captured before the "past" left us. Council agreed: keep the 1-1/2 hour DVD as presented by Mr. Stanley as the City's current oral history video. Music Selections and Sound Effects. Council concurred. Mr. Petsos asked if the volume could be increased on a couple of the interviews; Mr. Stanley said this would be corrected during the final mix. Transition for Graphics In Between History Segments: Mr. Stanley received agreement from council to use the City's logo with limited verbiage. Opening Segment: Mr. Stanley presented that Bill Larson would narrate this three minute portion and needed input from council regarding topics. Council agreed on the following opening topics: Native Indians and Spanish explorers, segueing into the 70's and the space program as a set up for the early Cape Ask Canaveral residents and a brief mention of the Cape Canaveral Lighthouse. Ms. Roberts recommended r utilizing the "Sun, Space and Sea" theme to describe the significance of the City. Mayor agreed. Part 1 to Part 2 Sequence, Ann Thurm Book Theme: Mr. Stanley summarized and presented his rationale on why he included Ann Thurm's book and scrapbooks. Council agreed with Mr. Stanley's suggestion to reference Ms. Thurm's scrapbooks containing newspaper articles of the City's history being available for reading at the Cape Canaveral Library. Part 1 to Part 2 Sequence, Changing the landscape: Mr. Stanley presented there would be a small mention of the City's changing landscape. Council agreed: include a brief mention of Port Canaveral. Closing Theme — New Visioning Statement: Mr. Stanley asked for clarification of the City's Vision. Mr. Boucher advised that Mr. Stanley would be provided with a DVD of the last Visioning Meeting in which there was discussion of the different visioning statements. Mr. Boucher recommended that Mr. Stanley include the people working together to plan for the future chapter of the community and did not feel that any audio was necessary; this would mix with ending comments such as, "pay attention to what is going on in your city, attend City Council meetings, learn about the Visioning process, visit City's website to learn more, and the City continues to evolve." City Historian Ray Osborne asked if council would consider mentioning that individuals could provide him with interesting artifacts. Mr. Boucher advised he would provide Mr. Stanley with Mr. Osborne's contact information. Credit Roll — Closing Sequence: Mr. Stanley asked council to review the credit roll. His idea was to have the logo in the background with people making generic "feel good, happy" comments off to the side as the credits slowly rolled and an "I love Cape Canaveral" at the end. In response to Ms. Roberts' question regarding inclusion of key City staff that Mr. Stanley worked with, he responded he could include these names under each department. In response to Mr. Osborne's question regarding credit being given to individuals who provided him with pictures, Mayor Randels suggested giving generic 2 credits; i.e., many pictures were supplied by residents. Council census: would like to see the final cut of the DVD reflecting comments coming out of this workshop. Comments from Council member Roberts: • Was there agreement that complimentary copies would be provided to the interviewees? Mayor Randels agreed that was a reasonable. • Capture lessons learned • Start thinking about a City History Museum to historically preserve artifacts/pictures • She praised Mr. Stanley's storyline interview approach, but was concerned that interviews with individuals involved in City government were not being captured; i.e., what's it like to be a mayor, to be a councilmember, to be a city manager. The storyline approach relative to the individual interview approach could be considered for the future • Historical Advisory Board • Grants to help build for the future • Benchmark best practices from other municipalities as they relate to capturing municipal history Staff will provide Mr. Stanley with credentials on all the interviewees.
