HomeMy WebLinkAboutFW PRR re Code Enforcement Activities - Response to additional questions regarding software and spreadsheetsMia,
The BS&A program does have the capability of exporting to and excel spreadsheet. We are able to run a report of all code enforcement and export that into an excel spreadsheet (see attachment).
However to export all fields from the database into an excel spreadsheet as requested would require us to build that report, which we are capable of doing. This report would take approximately
2hrs to build and export, due to the system not already containing a report covering all fields.
We also need to keep in mind this is a new system and we are still in the process of populating all fields.
Thank you.
Sincerely,
Brian Palmer

I would like a report. I have confirmed BS&A includes export functionality in their software including export to Excel. I am not asking for an exact duplication of what the city has
provided only asking for the export of all fields, delimited regardless of status for all code enforcement issues in now in your new software provided through BS&A. Thank you

Good afternoon Mr. Campbell,
Staff has completed investigating whether or not your request can be fulfilled for:
“the ability to see all records with the ability to assess performance. For instance grouped by violator, type, code reference, time lines between status changes. Will the new window
export the data? How do you assess performance?” …
related to your request on January 15, 2020 for:
1. As provided multiple times in the past, please provide an export, delimited and searchable, of all code enforcement cases, under review, open and closed. A copy of a previous response
is attached and I would like this PRR to be provided in the same format.
2. As provided in the past, please provide all Report a Concerns, delimited and searchable, that have been submitted to the city from 4/1/2019 to date. A copy of the previous response
is attached and I would like this PRR to be provided in the same format.
The City is no longer using the same software that it did in the past therefore we are no longer able to provide the records in the same exact format you request. As relayed to me
below by Community Development Staff, you have the following options:
1. Staff can run a report from the current BS&A System. However, it cannot produce the information in the same exact way as before; and/or
2. Use the online <https://www.cityofcapecanaveral.org/government/online_services.php> BS&A portal to search the properties yourself and create your own spreadsheet.
As referenced in the 2019 Government in the Sunshine Manual <http://www.myfloridalegal.com/sun.nsf/sunmanual> , page 158, under Request to create new records, answer questions about
the records, or reformat existing records - Chapter 119, F.S. provides a right of access to inspect and copy an agency’s existing public records; it does not mandate that an agency
create new records in order to accommodate a request for information from the agency.
Please contact me if you would like Mr. Palmer to provide you with a report or if you have additional questions.
Thank you

Mia,
I have attempted to recreate the Springbrook spreadsheet, which we have provided in the past, in the new BS&A system however BS&A will not create the same spreadsheet.
I am able to run a report however it is not in the format previously provided due to being a completely different system.
All this information is able to be found on line through BS&A and actually provides more information than the previous spreadsheet did.
Thank you.
Sincerely,
Brian Palmer

Good afternoon Mr. Campbell. This is in response to your PRR re: Code Enforcement Activities (below). City Staff no longer maintains a spreadsheet with the requested information. However,
all code enforcement cases that were available in the City’s previous software program (Springbrook) are searchable through the BS&A Online program. To access the information, go to
the home page of the City (www.cityofcapecanaveral.org <http://www.cityofcapecanaveral.org> ) and click on the “How Do I” tab which is located in the upper right corner of the page.
There, you will see the “View Code Enforcement Records” link. Press that and you will be taken to the BS&A Online page where you will find a link titled “All Record Search” in the top
left portion of the page. Click that and you can enter whatever address or addresses you wish to search.
If you have any problems with searching this information, please contact me and I will have someone assist you. Thanks. Dave
