The best way to remedy this issue would be creating a new workflow that will run across all entries and folders created during that time that entries were being created and have the workflow remove entry access rights from the Everyone Group. Since the everyone group has access to these folders, not only does that mean that the Weblink user can have access to these sensitive files. This means that any user that is added to Laserfiche has access to these files which can cause a security concern. Through the LF Administration Console, the “Everyone” group has almost no rights. Everything is unchecked with the exception of “Bypass Filter Expressions”. I don’t know what that is, so I don’t dare mess with it. The problem still persists. Under the “General” Tab on “Everyone Properties”, there is a section for “Authentication”, currently marked as “Not set”, with other options as “Trust: allow access” and “Deny: deny access”; again, as I do not know what that is, I don’t dare mess with it. My “thought” is selecting Deny could be a possibility, but I could end up borking the whole system through my naiveté, so of course I haven’t touched it. So that’s where I’m at right now. This was likely set by users when they clicked “inherit folder access rights”. The best way to remove these access rights would be by creating a Workflow. I have attached a sample workflow step that would allow all rights set to the Everyone group to be removed. This would be done by configuring the access rights command to remove all access rights to the Everyone Group. Just temporarily reactivated the searchbar on the weblink, and was still able to access items in the Addresses folder via search. Searchbar has been deactivated again. I think there is miscommunication with MCCi regarding this issue… yes, the “Everyone” access can be removed from a folder manually. Only problem: Every street folder. Every numbered address folder. Every “Building Permits”/”Code Enforcement”/etc. subfolder for every address. Every single one of these folders/subfolders individually have the “Everyone” access. That means manually removing that access from 25,000+ folders/subfolders, one at a time. It appears more recently-created subfolders in that Address folder do not have the “Everyone” group (for example the entire “100 Polk” folder), so this probably is some weird software glitch/bug/”feature” that dates back to when Building Dept. first started using LF in ~2004-2006 and created the entire Addresses folder structure at that time. From what I can gather, unless Daniel discovers something else, the search function should be ok. It’s a matter of Daniel going in, he has permissions, replacing the bar and then testing it. The basic retention setting is to keep all messages forever but rotate messages older than 2 years to cloud storage. The Barracuda is in the process of rotating out the messages older than 2 years now. This will take some time to complete depending on Internet transmission speed. You will continue to access all the mail on the Barracuda as before. The Barracuda will handle traffic to and from the cloud server automatically with no special input from users. The reason we added the rotate to cloud feature is that the Barracuda’s local storage was at 90% capacity and functionality could have been impaired. The local storage is 500 GB. We added another 500 GB of cloud storage. This should extend the life of the current archiver for a considerable time depending on future storage requirements. As demand grows we can either add more cloud storage, buy a higher capacity Barracuda Archiver or move entirely to cloud storage. 2 operational notes: 1) During the time the Barracuda Archiver was shut down for Hurricane Dorian, 9/1/19 - 9/4/19, no mail was archived from the City’s Exchange 365 Server to the Barracuda. I have exported the mail from this period to a large PST archive which I will import to the Barracuda. I am waiting for the rotate to cloud process to create additional storage space on the Barracuda to accommodate this. I anticipate doing this by the end of the week. I performed the same procedure after the Mathew and Irma shutdowns. 2) Barracuda Support and I noticed incomplete archiving of messages sent since 9/7/19 apparently due to the lack of capacity on the local hard disk on the Barracuda. I will do an additional PST export from the City’s Exchange 365 Server to the Barracuda to cover this gap as soon as space is available on the Barracuda.
