Staff has reviewed your Amended request for:
“…a list of all Report a Concerns submitted to the city
with status and tracking information, date submitted, actions taken to
date.”
In an effort to:
1. provide “…the information in what ever format you use to
document and track.”; and
2. accommodate your request to “…send a representative to review
all Report A Concern submits to the city and the status/actions taken
for each. Please provide the process to do that.”
Request No. 1.
As stated in my original response, the City does not create lists
(Excel, Access, spreadsheets, etc.), electronic or otherwise, to track
Report a Concern submissions. Staff has analyzed your Amended Public
Records request and was able to identify at least 2945 email records
related to those generated by Report a Concern submissions going back to
2016. Additionally, Staff is researching City records to locate/estimate
possible costs for producing/copying/reviewing for possible
exemption/redaction any other records beyond email. Upon receipt of the
Estimated Fees Deposit of $688.45 (see attached), Staff will proceed
with reviewing the content of the emails for possible
exemption/redaction.

Should you decide to proceed with paying the Estimated Fees Deposit,
Staff will continue processing this Amended Request, provide a secure
computer terminal for your use to view all of the records gathered
pertaining to this Public Records Request and contact you when they are
ready.
