Springbrook-City of Cape Canaveral
The City of Cape Canaveral purchased Springbrook Classic in 2007. The current software, IMS, was
outdated and did not provide the efficiency or the security that the City needed to move forward in the
21st century. In 2007 Springbrook customized the General Ledger, Accounts Payable, Payroll, Human
Resources and Fixed Asset programs to the needs of the City. In 2011, Springbrook Modern (Live)
replaced the Classic version; this allowed the City to have the “Right Now” ability for all City
departments to use. As the City’s growth continued, more modules were added to the Menu Bar each
one providing a service to the City and the residents of Cape Canaveral.
Log In
When logging on to Springbrook Live or Test you will use the same user name and password you use to
sign on to your City Computer. When you are required to change your password for your City computer
Springbrook will be updated with the new password.
Springbrook Window
After logging in you will want to expand the Springbrook window this will give you a clear view and allow
you to navigate the modules at ease. The tool bar at the top of each module has a &
Icon. When you click on the Dock icon, it keeps the module you are working on in the base of the
window. When you click on the UN Dock icon, it leaves the window and minimizes the module in the
window. Undocking a module allows you to have several modules open at the same time. This works
well if you have dual monitors. When using “Dock & Undock”, be careful that you know what module
you are working in because you can make a mistake and enter the wrong information.
Batch ID
Springbrook modules are batch driven and step base, this eliminates any manipulation or duplication of
information entered and secures user access. Each City department has been assigned a “Batch ID” that
is used when creating a batch in a module.
Batch Breakdown - 1. Dept. Id# 2. Day 3. Batch # 4. Month 5. Year
Administration: All PO Batch’s start with 2 Ex: 23001-09-2015
Leisure Services: All PO Batch’s start with 3 Ex: 33001-09-2015
Building & CED: All PO Batch’s start with 6 Ex: 63001-09-2015
Building: All Cash Receipt CR Batch’s start with 4 Ex: 43001-09-2015
Public Works: All PO Batch’s start with 1 Ex: 13001-09-2015

Menu Bar
The Menu Bar is located at the upper left of the Springbrook window:
When you click on the drop down arrow on the menu bar, it will
show you the modules that the City is currently using. Springbrook
City Administrators set up each employee with the modules that
they would need access to for their department.
The Modules
Like a menu in a restaurant, the modules are set up so that you can select which task you need to work
on. When you select your task, it will expand to show the steps that you need to complete. Springbrook
is a batch driven and most of the modules require the employee to enter the department’s assigned
number for their batch to proceed. After you have entered your batch number, you will complete each
step until commit step. Internal control does not allow employees to commit their batch in AP, BP CR,
GL,LP & PR. Purchase Orders is the only module that employees can commit their batch.

The Icons
As you navigate through Springbrook the icons on the commonly used modules allow you to quickly
open the window or access reports or information.
Springbrook has *sixty seven (67) icons that are used throughout the Springbrook modules.
*Refer to the Springbrook Icon Summary Handout for definition of the Icons and how they are used.
Desktop Icons
Your desktop Icons at the top of your screen will be used the most:
Customer: Locate and/or open a customer account. Customer information can be accessed
Lot: Locate and/or open a Lot. Lot information can be accessed here.
Jobs Viewer/Schedule: Reports & most processes can be located with this icon. It will display the status
of all jobs that are scheduled, job progress, batch information date and time.
Settings: Change the user preferences of your Springbrook account. You can change the color of you
background, this is very helpful if you are using Springbrook Test, and font size. What email message you
want to receive. Check the “Out of Office” if you are in a workflow batch.
Task: Used to track task in the workflow. A number in a () next to the icon is how many task you have
awaiting your attention.
Reports: Will display reports that you have used. A number in a () next to the icon is how many reports
you have awaiting your attention.
Exit : This will close out window you are currently in.
Help: To open the online Help Window and to search for questions to the Springbrook Modules.

Shortcut Keys
Insert – The INSERT key on your keyboard is used to create a new record in the maintenance window or
to add a new line items
Delete – The DELETE key on your keyboard can be used to delete a batch or a line item in a grid window.
You will first need to highlight the item before you DELETE.
ESC – The ESCAPE key on your keyboard can be used to close a current window. If you hit the escape key
before you save an alert, mess will appear letting you know that the information has not been saved.
F1 – The F1 key on your keyboard will open a search window in select modules. This is very helpful in the
customer/vendor
CTRL+A – The CTRL+All when the curser is in the window this will highlight all the in the information in
the window.
Space Bar – When you press the SPACEBAR, it will check or uncheck selected items-it can also be used to
close out a line item.
Arrow Key – The ARROW keys on your key board will help you move dates and line items up and down.
Note: Use caution when using the ARROW keys in a date it will move the month/date/year. This can
cause issues in your reports if not corrected before a commit.
Plus Sign – The plus sign on your keyboard can be used like a Tab key.
CTRL + C – The CTRL +C will copy the information you have highlighted.
CTRL + V – The CTRL + V will paste the information you have copied.
Customer
The Customer window is the central location of all customer records & customer accounts. Customer
are assigned a number that can be attached to the AR, LP, and BP module.
The Customer window is also used to open the customer accounts attached to a customer record. For
example, if you would like to view all of the Utility Billing accounts attached to a customer record, enter
the customer number into the Customer window. The Customer window will display the customer
accounts created in any module along with the customer record. You can open the customer account, or
open the customer record
