Step 1 - Renewal Process
BTR Renewals -
1. Name your batch –
a. New Tran Date – Current Date
b. New Due Date – Date renewal due (9/30/20__
c. New Tran Descip – FY 2017/2018 (Current Fiscal Year)
d. New License Status – Renewal
e. License Type – Select “All”
f. License Status – Select “Active”
g. Catergory - Business
h. Save – click on the “OK” button
2. Edit –
a. Click on the “EDIT” button – review
b. Make changes if need
c. Right inside the balance
window
d. Click on “Generate Report”
3. Proof List
a. Report Type = Detail
b. Print – “Print Preview”
c. Review –“Renewals Proof List – Detail”
d. Save to “New” FY folder in the “ Common Documents”
e. Print
4. GL distribution
a. Journal Entry : Date is the date of renewal letter : 8/1/20_ _
b. Fiscal Period : 11
c. Fiscal Year : 20 _ _
d. Report type : Detail
e. Print : Print Preview/ Save / Print
5. Letters
a. Select the “ Renewal Form” from the drop down list
b. Print : Print Preview *** Form will show up in “WORD” at the bottom of your screen
c. Open Word Document – Review form *** Note there will be no $$ in the Base Fee – the $$ will
show up in the next step “ Letters”
d. Make any corrections where needed – Save to BTR category folder “DO NOT PRINT”
e. Commit
