It’s imperative that we have all of this information in today. ACTION ITEMS DUE BY 11/8/17 SUMMARY: * Formal Parking Plan – see list. * Submit BCSO/CFR Support Request Forms: For any details TBD by the individual departments, list as such on the form and submit it as is. * Formal Letters from Ringdahl and Baugher. * Submit sign permit application: k.hutchinson@cityofcapecanaveral.org <mailto:k.hutchinson@cityofcapecanaveral.org> * Contact DBPR: Customer Contact Center: 850-487-1395 ________________________________ 1. Parking Plan to accommodate 1,500-2,000 vehicles: BCSO, CFR, CITY Original requirement (above) based on 5,000/25,000 estimated attendance. SCAF has secured parking on Ringdahl, Baugher and Hermansen properties. Written confirmations will be forthcoming. I have created a temporary parking plan image which will allow BCSO to coordinate their traffic control points. Create plan that includes: a. parking lot locations – Preliminary attached. b. directional signage – Will be part of the sign permit. c. exit/pedestrian lighting (for unlit grass lots) – Street lighting. d. name of 3rd party parking contractor (if used) – Still undecided. e. LEO traffic control points – TBD ASAP by BCSO based on attached map. f. parking volunteer locations g. handicap/wheelchair parking accessibility plan h. written acknowledgement from property owners of parking facilities – Hermansen attached; Ringdahl and Baugher formal confirmation still needed (temporary attached). - Create map of guest parking locations/information, for distribution to staff, public. – Will be done prior to event - Create separate shuttle plan to include: Still negotiating with Shuttle company, pick-up locations marked on attached parking map. a. drop-off and pick-up locations b. schedule and route 2. Food Truck Plan: CFR Event coordinators will be spreading the food trucks out around the north loop of the pedways to accommodate the required distance between trucks. - Contact the Department of Business and Professional Regulation to notify them of the event and the presence of food trucks. – SCAF: You will need to inform DBPR - Create revised food truck plan. 10 ft minimum spacing between trucks. 3. Contact List: CFR, BCSO - Create a day-by-day phone contact list of who is in charge at the event. – Will be provided prior to event 4. Restroom Facilities: CFR, Mike German - Order 36 portable restrooms arrange to have 1 handicap unit per cluster (3 total). – With the reduced attendance estimates, the original number of 36 will be reduced to 18. The number of handicap units and hand wash stations will remain the same. 5. Tent and Temporary Sign Permits: CITY (See specific contact email below.) Franklin Special Events will be pulling the tent permit. SCAF has been informed as to the requirements for the temporary sign permitting.
