Good Afternoon All,
Today, Gustavo, Josh and I met with Ms. Grigsby and Mr. Petsos
regarding the list of deliverables (below) that was requested for the
event. I have inserted updates regarding each issue in italics
below/beside the items. The key development that came out of the meeting
was the revised attendance estimate of “never more than 2500 in
attendance at any one time” with a weekend maximum of 10,000 — see
attached letter.
We have set an absolute deadline of Wednesday, November 8th for any
documentation not accounted for presently. The items highlighted below
will be submitted on or before November 8th.
1. Overnight Security Plan: BCSO
BCSO personnel will be needed as security on Saturday 11/25/17 from
5:00pm to 7:00am. They have the necessary forms and will be submitting
to you directly.
2. Parking Plan to accommodate 1,500-2,000 vehicles: BCSO, CFR,
CITY
Original requirement (above) based on 5,000/25,000 estimated
attendance. SCAF has secured parking on Ringdahl, Baugher and Hermansen
properties. Written confirmations will be forthcoming. I have created a
temporary parking plan image which will allow BCSO to coordinate their
traffic control points.
Create plan that includes:
a. parking lot locations – Temporary attached
b. directional signage – will be part of the sign permit
c. exit/pedestrian lighting (for unlit grass lots) – street
lighting
d. name of 3rd party parking contractor (if used) – still
undecided
e. LEO traffic control points – TBD ASAP by BCSO based on
attached map.
f. parking volunteer locations
g. handicap/wheelchair parking accessibility plan
h. written acknowledgement from property owners of parking
facilities – Hermansen attached; Ringdahl and Baugher (final) needed
(see attached).
- Create map of guest parking locations/information, for
distribution to staff, public. – Will be done prior to event
- Create separate shuttle plan to include: Still negotiating
with Shuttle company.
a. drop-off and pick-up locations
b. schedule and route
3. Food Truck Plan: CFR
Event coordinators will be spreading the food trucks out around the
north loop of the pedways to accommodate the required distance between
trucks.
- Contact the Department of Business and Professional
Regulation to notify them of the event and the presence of food trucks.
– SCAF: You will need to inform DBPR
- Create revised food truck plan. 10 ft minimum spacing
between trucks.
4. Contact List: CFR, BCSO
- Create a day-by-day phone contact list of who is in charge
at the event. – will be provided prior to event
5. Restroom Facilities: CFR, Mike German
- Order 36 portable restrooms arrange to have 1 handicap unit
per cluster (3 total). – With the reduced attendance estimates, the
original number of 36 will be reduced to 18. The number of handicap
units and hand wash stations will remain the same.
- Order hand wash sinks at a ratio of 1 sink per 10 portable
restroom units.
6. Tent and Temporary Sign Permits: CITY (See specific contact
email below.)
Franklin Special Events will be pulling the tent permit. SCAF has been
informed as to the requirements for the temporary sign permitting. They
have been directed to contact Karen Hutchinson at 321-868-1222 with any
additional questions about requirements.
- Permits must be acquired by tent contractor and will be
subject to inspection by City and Fire officials.
- Submit temporary sign permit applications with location
map/plan to: k.hutchinson@cityofcapecanaveral.org

7. Economic Impact Summary: Todd Morley
- Share post-event TDC summary information with City.
8. Trash/Recycling Accommodations: Josh Surprenant
Awaiting confirmation from Waste Pro. Should have written confirmation
by Monday. See revised site map for additional dumpster location
- Confirm additional receptacle delivery, trash removal
schedule and pick-up of receptacle after the event.

this morning and they indicated that they hadn’t received anything yet.
I cannot emphasize enough how imperative it is that BCSO and CFR
receive these items today.

Thank you all for attending yesterday’s meeting. We are greatly looking
forward to this event!
I have attached the list of action items and department recommendations
that were discussed yesterday, along with the contact information of
everyone who attended. You will also find the forms needed to complete
some of those items, as well as the temporary sign ordinance that
explains the do’s and do not’s for your signage plan.
If you have any questions, do not hesitate to ask and please remember
to copy me on emails as you proceed through this list so we are kept in
the loop of the progress.
