Teri,
I provided the estimate
for copies in the event you that you wanted them. And
yes, the clerical time is for scanning. As per the
Estimate:
Please make check
payable to the “City of Cape Canaveral”, and remit
to:
Office of the City Clerk
City of Cape Canaveral
PO Box 326
Cape Canaveral, FL 32920
Upon receipt of
payment, the request will be processed. The above is
an ESTIMATE ONLY. The actual cost will be
determined upon finalizing the request. Should the
actual cost exceed the advanced payment, a final payment
will be required
prior to releasing the records. If the actual cost is
less than the advanced payment, a refund will be made to the
requestor. Questions regarding the statement,
please call the City Clerk’s Office - 321-868-1220
x220/221.
Patsy,
I used your hourly
pay to come up with the scanning estimate based on the time
of 6.5 hours which you provided. Shouldn’t take you any
longer than that to complete and if it take less time,
please deduct it from the estimate.
Thank you.
Mia

Mia,
I will contact Derrick
at Pioneer and see if he can copy and give to me in
electronic format. I will see what the charge for that
service will be. If I scan the 8 1/2 x 11, I will need to
add my hourly rate for the time it takes me to
do so, not sure what the cost will be, but I bet more than
charging the .15 per page. Well touch base tomorrow.
Have a nice
evening.

Mia,
Thank you for the below
information. I appreciate your continued efforts and
will let you know if I have questions.
With respect to the
files that are not yet electronic, I understand the estimate
for clerical time ($103.41) and, if they cannot be scanned
into electronic format, for the large documents ($23.88),
but I don't understand the charge for
copies. I would not be needing hard copies at the per
page price ($77.25 total), as I understand that you could
simply scan and post the electronic versions on the
website. The clerical time should cover the scanning
of those regular-sized documents and
no paper or ink would be used. Can we proceed with
the clerical time and, if necessary, the handling of the
large documents?
Thank you,
Terri

Good morning Ms.
Bowman,
Please note that
our Laserfiche (LF)
records portal may periodically appear to not work due
to the fact that if too many people are searching the
database at the same time, records may not be
accessed. Much like a busy signal
on a phone, you
may have to “call back” later.
Additionally, Staff
used terms from your letter to search records and
place them in the “ Oak Lane” LF folder. If
you have difficulty using the search feature in LF,
please contact me or Deputy City Clerk Daniel
LeFever for
assistance.
In response to your
letter/request for
Public Records of 10-13-2016 the status of your
request is:
# 1 and #2 – most are
in the City’s Public Records Portal
online:
www.cityofcapecanaveral.org/public_records,
in the Public Records
Request/Oak Lane folder.
Waiting to hear back
from
current and former
Elected Officials.
3 – in the
Comprehensive Plan
folder
www.cityofcapecanaveral.org/public_records
#4 – other than 139
Oak Lane (in
LF/Oak Lane),
these records have not
been
converted to electronic
form yet, therefore the City will need to charge you
for that service (see the attached
estimate) or you may
come to the City Clerk’s Office to review them –
please let me know
either way your
preference.
#5 – Public Records
Requests/Oak
Lane folder
#6 – Public Records

Lane/City Engineer File

#9 – Public Records

City Council Meeting of
9-6-16:
#10 –
This material was
generated after your request of 10-13-2016. In the
spirit of transparency and in an overabundance of
caution, I am providing the attached Independent
Hearing Officer agreement; and a series of emails to
and from
Attorney Jim Beadle who will
represent the
City in this matter can be found in the Public Records
Requests/Oak Lane/Bowman 10-13-16 folder in LF.
By Copy to Staff, I am asking them to ensure they are
providing the same.
When all of the
Elected
Officials, past and
present, respond to me – I will provide you with any
records forwarded to the City Clerk’s Office.
Additionally, I will wait for your response regarding
the un-scanned records. If you need
anything
additional, please let me know.
Thank you.
